Deciphering Photo IDs
This section explains how to determine what setting to make in the Photos are identified by: field inside Principalm Connect’s Edit Student Photo Import and Edit Staff Photo Import windows. This process should not normally be necessary.
Photos can be identified by any of:
- Student/Staff Number
- SSN
- Student/Staff State ID
- Photo ID
The procedure is the same for both students and staff, in this example we use students. In order to determine how your photos are identified, follow these steps:
- Follow the steps to export photos from your photo provider.
- In the folder you exported your photos to in step 7 of Exporting Students From a Lifetouch Image CD above, locate a photo of a student you recognize. Make a note of the name of this photo file (e.g. 235.jpg).
- If you are using a photo index file, open it in a text editor, such as Notepad or SimpleText. Otherwise, skip to step 5 in your SIS, using the name of the photo file, in this example “235″, as your key.
- Use the Find feature of the text editor to locate the name of the file from step 1, without the .jpg extension (e.g. 235). You should find a line that looks similar to the following:
"7890783","235.JPG","08","Lucky","Tom"
where the fields are as follows:
"ID Number", "Photo Name", "Grade", "Last Name", "First Name"
Make a note of the contents of the first field, the ID Number, in this example “7890783″. This is your key. 5. Locate the student from step 2 in your SIS. Check the Student Number, SSN, and State ID fields – if any corresponds to the key, that is the field that identifies your student photos. If neither of these fields contains the number, you will need to contact your IT department to determine what ID numbers were given to your photo provider. 6. Set your Photos Are Identified By: to the field you determined from step 5.
